Creating A Custom Field Report

Whether it’s sending out a targeted ad campaign or mailing birthday cards, sometimes you need to gather specific information about your customers. Using custom fields allows you to search for and collect relevant and useful data that you may need at a later time – and custom reports are the powerful tools that let you use that information, no matter the reason.

At AllProWebTools, we know that technology can get tricky and we want to make it as easy for you as possible. Our Custom Field Report tool is simple to use and makes generating unique reports fast and easy.

How It Works

First, take a look at all of your options. To do so, from your home screen, go to Contacts < Custom Fields.

Here you can see all the different custom fields that you've configured in the past. When you create custom fields, you can set them to accept whatever kind of data you're looking for, from drop-down menus to dates, to text, so the options are almost endless.

Once you’ve determined which criteria you’d like to target, you can get started on your report.

Examples

In the first example, we’ll go over how to search for customers using the “birthday” field; this is useful if you want to send out birthday cards or special gift coupons to all customers born in September, for example.

To do so:
• Go to Reports < Contacts < Search Custom Field
• Choose the appropriate field – in this case, birthdate
• The system will show you all the people who have a birthday within the date range that you’ve selected
• If you’d like to change the date range, you can do so in the upper right corner dropdown

In the next example, we’ll go over how to search by anniversary date (the date a customer first joined your list). The process is very similar.
• To search for an anniversary date, go to: Reports < Contacts < Search Custom Fields
• Select “anniversary month” < the month you want to search for
• All the records that match that date will pop up


And that’s it! You’ve very easily created your first two custom reports. There are lots of different reports you can run (fields can include things such as birth month, spouse name, comments, a favorite product, and so on), but the same basic process applies to all of them.

Note that once you've run a report, there are several other things you can do from the results screen. For example, if you'd like to view more information on any particular entry, you can click on that customer's name to view their full CRM record.
